Build a configuration sheet

Create one page for the machine being offered. Record its model designation, quoted options, software, installation scope, training, and support arrangements. Attach the supplier's documents so later revisions do not silently overwrite the original proposal.

Ask the supplier to identify which demonstrated capabilities depend on optional equipment or software. Where catalog descriptions or dimensions appear inconsistent, seek written clarification instead of choosing the figure that makes the purchase easier to justify.

Compare the shop's work

Select representative jobs and explain what makes them difficult in the current process. Ask how the proposed configuration would handle them, and distinguish observed demonstrations from answers given verbally. Record preparation and downstream work as well as the operation being demonstrated.

The final comparison should make scope differences visible. Two quotations with similar model names can include different responsibilities and services.
