List the connected equipment

Create a machine schedule showing each proposed connection and its manufacturer-specified requirements. Have the equipment and water-system suppliers review it. Keep required flow, water quality, operating schedule, and any special treatment needs as separate fields; do not replace them with one informal estimate of plant size.

Record future equipment separately from the equipment already installed. The supplier needs to know whether a proposed connection is immediate, planned, or merely possible. Otherwise, the quoted design can be based on assumptions the shop never intended to make.

Agree on ownership of the system

Before purchase, identify who will keep records, arrange service, and recognize when the supplier needs to be contacted. Ask for the applicable maintenance documentation and a written explanation of consumables, service responsibilities, and commissioning requirements.
