Put the requirements in writing
Describe where printing starts: a desktop browser, a installed application, or a mobile workflow. Ask the software supplier which exact printer configuration they support and what additional driver, utility, or local service is required. Request a demonstration using the same environment your team will operate.
Then identify the label’s purpose. A job packet, a material tag, and a sample label can need different layouts and media. List the required fields and the identifier that a scan must return. Avoid combining every useful field into one unreadable design.
Include the exception in the demonstration
Change a job’s revision after printing the first label. Ask how the old label is recognized and what the operator sees when scanning it. Disconnect and reconnect the workstation using the supplier’s supported procedure. Confirm who can diagnose a failed print and how another authorized employee resumes the work.
The acceptance record should contain the tested software version, printer configuration, template, and outcome. Keep unresolved questions beside the result instead of converting a partial demonstration into a blanket compatibility claim.
