Start with the blocked job
Pick three recently completed jobs: one ordinary residential kitchen, one job with an approved change, and one that missed its original schedule. Remove customer identifiers before sharing anything externally. Write down where each job waited for information, who resolved the issue, and which system held the final answer. This gives a purchase discussion a concrete starting point.
An estimating problem calls for a different demonstration from a scheduling problem. A product can create an attractive quote while leaving production coordination to another application. Conversely, a capable job system may assume the drawing and price already exist. Compare the responsibilities of the proposed tools before comparing their menus.
Build the shortlist around responsibilities

Test the exception in the same session
Ask the demonstrator to start with a fresh copy of your practice job. Change the sink after approval, put the material on hold, or move one install while leaving the rest of a project intact. Record what the software does, what requires an employee decision, and what needs an additional module. A manual step is not automatically a failure; an undocumented dependency is an implementation risk.
Include the people who will perform the work. An owner may like a dashboard while the scheduler cannot tell which dates are promises and which are placeholders. Have each role complete its own task and explain what another employee will receive. Keep observations separate from vendor explanations.
Make the decision reviewable
Use required, useful and optional requirements rather than a long unweighted checklist. A system that cannot preserve the approved drawing should not win because it has more cosmetic features. Record a pass, a failure or an unresolved question for each required task, along with the package and version demonstrated.
Price the proposed configuration, onboarding, imports, training and ongoing administration. Estimate the staff time needed to operate the new process, not just the license charge. Select a pilot owner and define the evidence that would justify moving more jobs into the system. The result should be a short written decision another manager can understand six months later.
