Identify the actual proposal
“Moraware versus ActionFlow” is too broad to serve as a purchasing specification. Write down which Moraware products are included and which ActionFlow package and additions are proposed. The vendors’ current documentation establishes those product boundaries; it does not establish that two proposals cover identical work.
For each proposal, identify the owner of five records: drawing, approved selling price, production job, slab allocation and customer payment status. Ask where each record is first created and which copy is authoritative after a change. If a value appears in more than one system, ask how conflicting updates are detected.
Follow a quote into production
Build a practice quote, approve it and create the production job. Then change a meaningful item such as the material selection. Inspect the drawing, price, scheduled activities and reservation. Write down which steps occurred automatically and which required an employee. Do not credit an integration merely because a vendor lists its name; inspect the transferred fields and the handling of failed transfers.
Repeat the exercise with a partial project. For example, a kitchen and two vanities may need separate dates. The test is whether the proposed configuration represents the shop’s actual commitments clearly. It is not a claim that a specific product can or cannot do this until the result has been observed.

Moraware’s published API introduction distinguishes Systemize/JobTracker access from CounterGo. That is a useful reminder to verify the specific application and endpoint, rather than treating a company-level API claim as universal access. For either vendor, obtain written confirmation of the operations your integration requires.
Compare the employee experience
Give the estimator, scheduler and inventory coordinator the same tasks in both demonstrations. Ask them to locate the latest approved drawing, identify a blocked job and explain what a customer can be promised. Record search time and ambiguities as observations from that exercise, not as a universal product benchmark.
Check how new staff receive access and how responsibilities move when someone is absent. A proposal that requires a knowledgeable internal administrator should identify that responsibility and the training needed. Include administration in the cost comparison.
End with unresolved questions
Keep a short issues list with an owner, requested evidence and decision deadline. A vendor answer can resolve a question without proving a task works in your environment. Close a critical item only when the agreed demonstration or written contractual scope supports it. This produces a defensible choice without pretending that a generic ranking describes every fabrication business.
